Your day and alerts
What Apricot emails you about your tasks: Your day, one email on the mornings you choose, and a timed alert when a task's time comes.
What's in Your day
One email, on the days and at the time you choose, with whichever of these has something in it:
- Today - what's due, in time order.
- Overdue - anything past its date.
- Tomorrow - what's coming up next.
- Your reminders - your other tasks with the bell on.
- Done by others - your tasks someone else has finished since your last email.
- New comments - comments on your tasks that weren't already emailed to you.
Which tasks it picks
Today, Overdue and Tomorrow fill themselves from your Task Lists: the tasks assigned to you, and ones nobody has taken yet. Each section lists up to 12, with a link to the app for the rest.
If there's nothing to say, it isn't sent.
Timed alerts
When a task has a due time and your bell is on for it, Apricot emails you at that time - give a task 17:00 tomorrow to be reminded then. Times on the quarter hour, like 17:00 or 17:15, are emailed right on time; any other is emailed within 15 minutes of it. Several due at the same moment come in one email.
They're on unless you switch them off, under Emails in your Profile.
The bell
The bell decides whether a task reaches you: it puts the task in Your day and, if it has a time, sends you its timed alert. It's on from the start for whoever adds a task and everyone it's assigned to, so you'll mostly be turning it off - which is also how you leave a task out of Your day.
Your bell is yours alone - switching it off doesn't affect anyone else on the list.
Choosing when they arrive
Both are under Emails in your Profile, and save as you change them. Your day has its days - weekdays, every day or any you pick - and a time, on the hour or half past. It starts out on weekdays at 08:00. Timed alerts have a switch of their own.
The two share your timezone, so a time means your time wherever you are.
Which lists they cover
Every Task List you're on, and new ones join automatically. Untick a list under Emails in your Profile to leave it out of both: nothing from it comes through, even with the bell on. Note Lists and Forms are never in them.
Other emails
Apricot also emails you when someone assigns you a task and ticks "Email them", when someone @mentions you in a comment, and, for a Form you're on, when new responses come in.
Now and then there's news about Apricot itself, which you can switch off under Emails in your Profile. Your day, timed alerts and Form responses each have a link at the foot of the email to stop them.
