Get started
Connect your assistant, make a list and put something on it.
Start with your assistant
Apricot is designed to be assistant first. Anything you can do in the app - make a list, add tasks with dates and repeats, share a list, assign work, change your emails - you can do by asking Claude, ChatGPT or another assistant, in a sentence. It's much quicker than clicking through, and it can do lots at once: "move everything due today to tomorrow" is one message, not twenty taps.
So whenever you want something done in Apricot, try asking your assistant first. The app is there for seeing it all at a glance - your lists side by side, the calendar - and for anything you'd rather do by hand. This guide covers both, with what to ask at the top of each page.
Your first list
You start with one list. To add another, click + at the top of the panel on the left, and choose whether it's a Task List, a Note List or a Form - and, if you like, which topic it goes in.
Add a task
Click "Add task" at the top of a list and type. A task only needs a title - the date, time, person and repeat are all optional.
Your primary list
One of your lists is your primary one, marked with a star in the panel. If you add a task without saying which list it belongs on, it goes there. To change it, choose "Make primary list" from a Task List's ••• menu.
Where your lists live
Your lists are in the panel on the left, each marked as a Task List, a Note List or a Form. Lists shared with you sit with your own, with who they're from under the name, and they're in the order you set under List order (in the menu under your name), topics and lists alike.
Topics keep the lists about one thing together - a Task List, a Note List and a Form for "Means of Making", say. Make one with the + beside Topics, then drag a list onto it, or choose Move to topic from the list's ••• menu. Lists not in a topic are under Other lists. Topics are yours alone: filing a shared list changes nothing for anyone else, and deleting a topic keeps its lists.
Archiving a list
When you're done with a list but not ready to delete it, archive it from its ••• menu. It moves to Archived at the bottom of the panel, drops out of All tasks, the calendar and your daily email, and stops counting towards your plan's lists. Nothing on it can be changed while it's archived, for anyone it's shared with.
Restore it whenever you like, as long as your plan has room for it. Otherwise it's deleted for good, with everything on it, 90 days after you archived it.
Moving from another app
Coming from Todoist, a Notion to-do list, Microsoft To Do, Apple Reminders or another app? There's no need to type everything out again: your assistant can move your tasks across for you.
- 1
Connect your assistant to Apricot, as in Connect your assistant.
- 2
Get your tasks out of the old app. Todoist and Notion can both export a list as a CSV file, or you can copy your tasks and paste them as text.
- 3
Give them to your assistant, attached or pasted into the chat, and say where they go: "Add these to my Home list in Apricot, with their due dates." Tell it which ones repeat, like the bins every Tuesday, and it will set them to repeat.
- 4
Open the list in Apricot to check them. Your plan still applies, so on Free a list holds up to 25 open tasks: bring your open ones, and leave finished ones behind.
Didn't find it? Email support@apricot.so and a person will write back.
